Creating and uploading unique promo codes
Our Unique Promocodes feature allows you to create one or more sets of unique promotional codes that you can then share with your customers. A unique promo code can only be used once, and you will be able to see if and when a customer's code has been used. In this guide, we will show you how to upload these codes onto the system and connect them with the ticket type of your choice.
This feature is not available to all organisers, so please contact us here if you would like access to it.
Uploading a set of unique codes
First, locate the unique promo codes module under Organizer settings in the top menu. You will see the Promo codes tab in the left sidebar menu.
Now you should download the template in which you will create and set up your promotional codes. You download the CSV template by clicking the template.csv text shown on the picture below.
Filling out the template
When you open the template in your spreadsheet software (e.g. Google Sheets or Excel), it should look similar to this:
You have two columns which will need to be filled out - Code and Type:
This is the unique promo code that the customer will input in order to reveal the hidden ticket type and complete the purchase. Your list of codes should all be unique and you can create the codes to be as simple or complex as you like. You may choose a convention such as [event name + 4 digit number], or a combination of letters and numbers. You should avoid fullstops, and in general we recommend sticking to the latin alphabet, numbers and simple characters ("-" "_").
This is the name of a group of unique codes which you will later connect to a specific ticket type or multiple ticket types. Please keep in mind that this name is not visible for customers, but rather a way for you to keep things organised and to connect the codes to specific item types. It is therefore recommended that you input the event name under Type, or that you use a label which will help you to easily identify the group of codes.
Let's look at an example...
Here is an example of 20 promo codes that would be used in a football match between Milan and Inter on the 30th of July 2020:
Note that spaces are not supported, so you should avoid using spaces when filling out the file.
Once you have set up this sheet accordingly, please make sure to save the file as an .XLSX or a .CSV. If you try uploading any other file types, you will receive an error message, so you should make sure that you upload only an XLSX or CSV file.
Uploading the finished sheet
The next step is to upload the finished file. You do this in the promo code module by selecting the Import button, and then selecting the correct file.
Once the promo codes have been imported, you should see then displayed:
You will now need to connect this group of promo codes to a specific ticket type in your event or events.
Connecting unique codes to ticket types
Navigate to the event on which you wish to apply the unique codes, then go to Ticket types. Select the relevant ticket type, or create a new type if you need.
Under the +Promo code field, select Unique promo codes. Then choose the relevant Type. This is where you will see the name you inputted in the Type column on the file.
You can now Save your ticket type.
By applying a unique promo code to a ticket type, you ensure that your customers will not be able to access that special ticket type without inputting their unique code. They will input their code in the promo code box on the event page:
When they input their code, they select Apply code, and this will reveal the hidden ticket which they can then purchase.
NEW! You can also activate unique promo codes under the Discounts tab. Under Criteria, select Unique promo codes, and under Value select the relevant group (Type). You can then set up your discount settings such as dates, events and ticket types it applies to.
