Setting up membership cards
If you have a members club, or would like to start a membership programme for your organisation, our Memberships feature might be a great choice for you!
We will have to activate this feature, so let us know if you are interested in Memberships.
How do memberships work?
You can use the Memberships feature to sell membership tickets, which can then be used to redeem other items you are selling in TicketCo. You might want to offer your members access to some reduced priced tickets or some exclusive merchandise. The memberships feature differs from season passes because it requires the members to purchase specific tickets or items using their membership card.
It is possible to set up different membership types, with different prices e.g. "Gold Level Membership" and "Platinum Level Membership". You can then choose whether your exclusive membership tickets and merchandise are available to all memberships types or not.
Customer purchase journey
A customer who has purchased a membership will receive a digital membership, containing a QR-code and a reference code consisting of 7 letters. When redeeming members' items and tickets online, they will need to input their membership code in addition to their details:
If the membership is valid, they will be able to complete the purchase. If not, they will not be able to purchase the items.
You as the organiser can scan membership QR-codes in the TicketCo app, so that you will be able to see when a customer's membership card is valid. You can also input the customers' membership code in the app when they are purchasing members' items.
Setting up membership cards
Our Memberships feature is currently connected with a CRM feature, meaning that when we activate the Memberships feature for you, we will need to know whether you would like to register members according to:
- Phone number
- Email address
We will explain more about how the CRM feature works with memberships below.
Once activated, you will see the Memberships option in your main menu. Select + New membership.
You can then assign a name to your membership set up, add an image and a description:
If you select Requires Tickets Personalization, your customers will be asked to fill in their email or phone number when purchasing the membership, and this will be used for identification of the purchaser when they redeem other items later on. This is explained in more detail below.
Once you have filled in all the fields, hit Save. You will then be asked to create your first membership type:
Add a name, description and image if you like. You can then assign the expiration of the membership card, either as a duration from when first purchased, or within a certain time frame. The remaining fields are just like when you create regular tickets or season passes - you can choose the number of items available, the price and the sales dates. Hit Save once all filled in.
You can add multiple membership cards with different prices to the same membership set up. You might choose to have different items available, such as:
- Adult memberships
- Child memberships
- Gold Level memberships
- Platinum Level memberships
Creating membership items on events
Once you created your membership set up, you can navigate to the tickets and other products which you want to offer your members. You might, for example, give your members access to certain reduced price tickets, or they might be able to purchase some exclusive merchandise.
Find the relevant tickets/products in your regular events, or set them up if you have not already done so. Under the item settings, you will now see that you can select the memberships you have just set up:
Use the checkbox under Memberships to select which membership you wish to associate with the item. You can choose to activate all memberships, or just some specific ones.
If no memberships are activated on the item, then the customer will be able to purchase the item as they would normally (they will not be required to input the membership code).
If you want to allow your members to purchase more than one item per membership code e.g. they can buy 5 x member tickets with the same membership number, you should also tick the correct membership type under Allow multiple tickets. If you want to limit the purchases to one item per membership card, then you should not activate the memberships under Allow multiple tickets.
Membership items will appear with an orange banner on your event page:
Ticket personalisation & CRM
Currently, the Membership feature is linked with another feature, called CRM, which you will also see in your main menu when we activate Memberships for you. You do not need to look into the CRM feature to set up memberships, but it is just worth keeping this in mind, because this explains some other options and check boxes which you will now see on your events.
Because Memberships are linked to CRM, each member, or rather each membership ticket, requires a unique identifier, which is why we need to know whether you would prefer this to be the person's email or phone number when we activate the feature.
When you set up your memberships, you can select to activate Requires tickets personalization so that the purchaser is asked to assign their phone number/email to their membership ticket.
You will notice that this same option now appears on your regular events, alongside the Multiple tickets per identifier checkbox:
If you have Requires tickets personalization activated, your customers will be asked to provide the specific phone number/email for each ticket contained within the order. This will be asked once per ticket unless you also activate Multiple tickets per identifier.
Note that this applies to all tickets sold on the event, not just membership tickets.
If you are selling kids tickets, you will probably want to either a) not have Requires tickets personalization activated or b) have both Requires tickets personalization and Multiple tickets per identifier activated. This is because your customers will most likely not be able to assign a unique phone number/email for their children's tickets.
