Adjusting reservations after updates to the season pass price
It is now possible to update reservations on a season pass event once you have made some changes to your season pass prices. That means that you can select whether to update your existing reservations with the new price, or you can choose to maintain the reservations at the previous price. This article will take to through how to do this, and the implications of those changes.
Changing the price of a season pass type
Once you have made any changes to the price fields in on your season pass type, and then selected Save, you may see 1 of 2 different pop ups.
If you do not have any reservations on your season pass event, you will see something like this:
Selcting Save changes will update the new price. Pressing on X in the upper right corner will revert the change.
If, however, you do have some unredeemed reservations containing that item type, you will see a different window with few options:
1) Reservations that will be affected by this change.
If there is more than one, all will be displayed. You can choose which reservations you want to leave with old prices (if any) and which will be updated.
You control this with the check boxes. All "checked" reservations will be updated with the new price. All reservations, which remain unticked will keep the old price (the price will be frozen for them).
2) A notification toggle.
If activated, you will notify your season pass holders that their reservations have been updated. All reservations marked by you as fit for change will be affected.
Turning this toggle off means that you do not wish to inform your season pass holders about the change.
3) Ways of communication.
Here you choose if you want to inform your Season Pass Holders about the price change via an email or a sms.
If there is no information provided in the reservation, you will see this message under both options:
4a) Clicking on this button will save the whole setup. If you turned the notifications on, they will be sent now.
4b) Clicking on this button will cancel all changes to the whole setup. The price will be the same as before it was amended.
Summary
If you change the price on a season pass item type you will see the pop-up with the list of affected reservations and notification settings.
You can decide what to do with the existing season pass reservations:
1) save the new price for new tickets and set the new price in the selected reservations;
2) save the new price for new tickets, but keep the old price in the deselected reservations; *
3) close the pop-up without saving and revert the price changes.
In the case that you do change the price, you can decide what to do with notifications for customers:
1) notify the customers via email;
2) notify the customers via SMS;
3) notify the customers via both email and SMS;
4) not notify the customers.
* If you decide to keep the old price, all existing reservations within this season pass event will be blocked from editing and get the new “Reset prices“ button.
Editing a reservation after a price was amended
After opening the reservation editing screen, you can select to either:
1) Proceed with the old prices. Note, you will not be able to make any edits to the order, but you can redeem, personlise and distribute the reservation again.
2) Reset the prices to the current ones. This will allow you to unblock editing, so you may add or remove season pass items, redeem, personalize and distribute the reservation.
In order to split a reservation, you need to reset the prices first.
If you change the price of the current season pass item type and decide to update the reservation, all prices for any other season pass item types included into this reservation will be updated as well if they were changed previously.
This means if decided not to amend a reservation consisting of several tickets, and later you decide to change the price of one other item in the order, all items in the order would be updated to the most recent price. In short, a reservation can either be fully updated or completely frozen.
Important information
- Only season pass items can have the price changed this way.
- Every change to the fields in the price section will trigger the process after clicking on Save e.g. if VAT level is updated, you will also be able to update reservations.
- A reservation can be changed or unchanged as a whole. A partial update of the prices in one reservation is not possible.
- Redeeming the Season Pass reservation from the TicketCo admin app will always give items with updated prices, regardless of previous settings.
- Redeeming the season pass reservation from the webpage will always give items with updated prices, regardless of previous settings.
- To redeem the season pass reservation with the unchanged prices, the manager has to do it from the Admin pages on a laptop or a stationary computer.
- Reset prices button is not available in the Admin App.
